What a retreat leader should assess before booking a venue in Portugal
A checklist for anyone bringing their own group and their own programme.

Practice space, accommodation, meals, privacy, access and responsibilities: what to confirm with the host before locking in dates for a retreat in Portugal.
Clarify roles from the start
The most important distinction is simple: who provides the property and who runs the programme. At Casa Caparica, the house offers property and hosting; the programme, facilitators, activities and participants belong to the organiser.
Confirm the practice space
Ask about the usable surface area, sun exposure throughout the day and backup options in case of rain or wind. Avoid assuming professional equipment: confirm what exists and what you will need to bring.
Check accommodation and bed configuration
Retreats with participants who do not know each other need clarity on shared rooms, single beds and bathrooms. Ask for the exact number of bedrooms and bathrooms and confirm what is configurable.
- Number of bedrooms and bathrooms
- Beds configurable as double or single
- Common areas available to the group
Decide how meals will work
An equipped kitchen, an outside chef or local restaurants are different paths in cost and logistics. The host can share contacts of local partners; hiring them is arranged directly for each project.
Plan dates and approval
Dates depend on the house's calendar and bookings are subject to approval. Share the number of participants, the retreat format and the planned activities when requesting availability.
